Meeting Minutes for January 9, 2008: Falls Church High School @ 7:30 PM
The January 9, 2008, meeting of the Potomac Valley AAU (PVAAU) was held at Falls Church High School in Falls Church, Virginia. Andy Stadnik called the meeting to order at 7:33pm, and asked all in attendance to sign-in and pick up several handouts at the table.

The following eight clubs were certified as being eligible to vote at the meeting: Arlington Matrix (Jim Butler); Cardinal (Stan King); Classics (Andy Stadnik); MBLC (Cornell Barnes); Maryland Flames (Mike Baker); Team Select (Bob Surratt); Fairfax Stars (Tony Edghill); and Team Sol (Saladin Reese). Eight of ten registered members were in attendance, so a quorum was met.
 
Mr. Stadnik asked the group to review the minutes from the December 12, 2007, PVAAU meeting. Jim Butler of the Arlington Matrix offered a motion to approve the minutes of the December 12 meeting. Saladin Reese of Team Sol seconded the motion. The motion to approve the minutes was passed by a vote of 6 to 0 (two voting members had not yet arrived). 
 
The first item on the agenda was a discussion of the financial status of the PVAAU girls’ basketball committee. However, Mr. Stadnik postponed the discussion of finances until a future meeting when Colonel and Johnnie Mae Armstrong would be in attendance.
 
Next, Mr. Stadnik reviewed the AAU club registration process, and advised that all club representatives should review the list of their registered members periodically, and contact Johnnie Mae with any questions or changes.
 
Mr. Stadnik then addressed the status of the PVAAU girls basketball website.  Jim Butler of the Arlington Matrix advised that once the paperwork was signed, work would begin on the site immediately.
 
Next, Mr. Stadnik reviewed the 2008 DQT host club bids, which were due December 12, 2007. After detailing all the submitted bids for each age group, there was a brief discussion on how to allocate the bids. Stan King of the Cardinal suggested a proposal in which all clubs would get at least one hosting bid. Saladin Reese of Team Sol commented that the proposal also provided a good geographical balance between all host sites. 

The DQT hosting proposal was as follows:

Mike Baker of the Flames made a motion to approve the proposal. Jim Butler of the Arlington Matrix seconded the motion. The motion passed 8-0 (all eight voting members having since arrived).             
 
Next, Mr. Stadnik led a discussion regarding a variety of 2008 DQT issues. The DQT entry fee would be $475, the draw date will be April 9, and the DQT window is April 18 through May 19. Mr. Stadnik encouraged all clubs to get their players registered as soon as possible. Stan King of the Cardinal suggested having an April 5 cut-off for registering players prior to the draw date. Packets must then be turned in on the draw date and reviewed that evening. For any incompletes, supplemental documentation must be turned in by the first day of competition.
 
Next, Mr. Stadnik led a discussion of officiating standards for DQTs. Mike Baker of the Flames suggested that all sites should have a rule sheet at each scorers table. Mr. Baker said he would circulate via e-mail the rule sheet that the Flames currently use for their tournaments.
 
Mr. Stadnik encouraged all club representatives to look at the facility checklist for DQTs. Mike Baker of the Flames asked whether curtains between courts were required for multi-court facilities. Mr. Stadnik responded that though they are not required by PVAAU, most facilities do so anyway for safety purposes.
 
Mr. Stadnik also reminded everyone about DQT competition days and times, specifically, to be mindful of weekday evening game (and traffic) issues. Also, May 3 is an SAT test date; clubs hosting HS age groups should keep this in mind.
 
Finally, Mr. Stadnik stated that the official 2008 AAU Rule Book has not been posted yet on the AAU girls basketball website, but that it should be up soon.
 
No new business was brought before the committee.
 
The next PVAAU meeting was scheduled for Wednesday, February 13, 2008. The meeting was adjourned at 8:44pm.
